BT Engage IT helps Logica solve a multi-million pound problem

Case Study
Logica is a leading provider of business consulting, systems integration, IT and business process outsourcing services to a wide variety of clients.
To operate efficiently, it needs to deliver effective, well managed print services to its 6,000 UK staff and that causes problems because they are highly mobile, with 46 per cent working out of two or more of the company's 25 offices and 28 per cent working remotely.
Logica's print fleet consisted of 780 devices
generating 32 million pages a year but company
acquisitions and mergers had left a legacy of
ageing models from many different vendors. Closer investigation revealed a de-centralised and
disparate service in terms of both management
and cost control. Local business units 'owned'
672 of the printers leading to fragmented
processes and distorted costs. There was only
limited access to A3 or colour print and site
surveys showed that up to a third of Logica's
multifunction printers were actually broken. Finally, there was virtually no infrastructure to
support mobile staff.
Rounded Service
Seeking a solution, Logica initially contacted three suppliers but after engaging with Logica for 12 months, BT Engage IT won the eventual tender.

Managed Service
Even though Logica had made no firm purchasing commitment at that stage, BT Engage IT still assisted with site surveys and regular reviews, building a total understanding of the business issues and showing how latest technologies could resolve them. It also suggested solutions such as HP Web Jetadmin software that would enable Logica to investigate its printer usage and page volumes.
The new solution is provided through a managed
print service contract with BT Engage IT and both the
business and environmental benefits are
significant.
Reduced TCO
Logica's 780 original devices have been reduced by 38 per cent, down to a mixed fleet of 485 machines that includes HP Multifunction Printers (MFPs) with all-in-one print, copy, fax and scan to email capabilities and a collection of A3 and A4 colour and mono HP printers. BT Engage IT advised on the deployment of devices and a Ringdale FollowMeTM solution uses Logica's door access proximity cards to trigger print for collection at any machine. This supports mobile workers and avoids the waste of print jobs being sent to the wrong machines. HP Digital Sending Software (DSS) also enables MFPs to send scanned documents to several destinations such as email, fax or folder.
Since the new solution was introduced, the number of pages produced has dropped by 25 per cent and actual paper costs have more than halved. Falling support and consumable costs have contributed to a cut of 56 per cent in print TCO.
"The MPS solution from BT Engage IT has also enabled us to reduce our environmental impact. Making draft duplex printing the default mode has reduced consumable usage by 30 per cent and paper costs have more than halved. Rationalising the print environment and using powersave also saves us 514Kw a week," adds Machin.
"Since deployment BT Engage IT has stayed closely enaged with us, and continue to help us add value and get the most out of the solution. They are always looking for new ideas, forwarding white papers and coming up with new solutions and they have made it a no-brainer that we want to engage with them going forward," concludes Machin.
